Core concepts
Today's tools were built for a single business doing its own books. We built ZiePieBooks the other way around, on four ideas that fit together. Learn them and the rest of the platform falls into place.
A reusable template of your firm's standard stages and tasks: onboarding, bookkeeping, review, sign-off, client sign-off, and period close. Define your process once and every engagement runs on it, so the work stays consistent no matter who's doing it.
A client's relationship with your firm, running on a chosen workflow. When you activate it, the full engagement is laid out at once, every period and task across its life, so you can see and resource the whole job on day one instead of month by month.
A unit of time within an engagement, usually a month. Work moves in order through each period, and the next one only opens once the last is reviewed, signed off, and locked. Closed periods can't be changed.
The individual pieces of work inside a period, generated automatically from the workflow per period, per account, or per event. Tasks route through your team in order. Everyone gets a personal queue, and managers get the firm-wide view.

Ownership
Stop running your practice inside logins you don't control. Your clients' books live in your firm's own system: one source of truth, kept as long as you choose and exportable whenever you want. Each firm's data is fully isolated, so your work is never visible to anyone else. You decide who can do what, with role-based permissions for bookkeepers, supervisors, and accountants that are checked on every action, so the interface is never the only thing holding a boundary.

Lifecycle
Define your firm's workflow once and every engagement runs on it. New clients onboard right through the platform. They verify by email, connect their banks securely through Plaid, and upload documents, with nothing handled offline. When you activate the engagement, the system lays out every period and task at once, so you see the whole job on day one. From there work moves in order: bookkeeping, then review, then sign-off, then client sign-off, and the next period only opens once the last one is done. Bank feeds and statement uploads flow into staging, get categorized, reconciled, and posted, and then the period is locked for good.

Team
Everyone gets a personal work queue, and managers get a firm-wide view of who's doing what and where work is stuck. Built-in time tracking captures how long tasks actually take, rolled up per engagement and across the firm. You get to see real effort, spot the engagements quietly losing money, and plan capacity with data instead of gut feel.

Visibility
One dashboard for the whole practice, with active, overdue, ready-to-close, and paused engagements at a glance. You get hard numbers on cost, time-to-close, and blocked work, plus how much the AI is carrying versus your team. And behind every number sits a tamper-evident audit trail: each change recorded as permanent, cryptographically chained history and verified automatically every night, so the books are always defensible.

How the AI works
Categorization isn't a black box that guesses and hopes. It runs as a pipeline that leans on your firm's own approved history first, calls on AI only for the unknowns, and routes anything uncertain to a person. Every step is recorded.
The system checks your firm's own approved history. A vendor you've coded before is matched instantly, with no AI call needed.
Only the transactions that history can't place go to AI, and each comes back with a confidence score instead of a silent guess.
High-confidence matches flow straight through. Anything uncertain gets flagged and held for a person to review.
A person approves, corrects, or reassigns. Every approval is recorded, and it makes the next match smarter.

Why you can trust it
Running many clients raises the stakes on trust. Isolation, enforced permissions, and an immutable history are built into how the platform works.
Each firm's data is isolated at the database level. Your work is never visible to any other firm. That's not a hidden setting, it's how the system is built.
Bookkeeper, supervisor, accountant, and more. Role-based access is checked on every action. Hiding a button in the UI is never the actual control.
The history is append-only and cryptographically chained, so a closed record can't be quietly edited. Tamper with one, and the broken chain gives it away.
A scheduled check re-verifies the chain, so the books stay provable long after a period closes.
Getting started
Switching off QuickBooks or Xero shouldn't feel like starting over. Migration is a supported, first-class path that carries forward clean opening balances, so you can onboard clients at your own pace.
